Staff Assistant

POSITION SUMMARY:

The Staff Assistant will support the Associate Director of the National Center for Technological Literacy (Formal Education), as well as the Senior Vice President/Publisher of the NCTL, in the administrative tasks necessary to carry out projects.  Duties will include a wide range of administrative tasks, including (but not limited to) communicating with program participants, answering and responding to telephone calls and email messages, arranging logistics for workshops, meetings and other events, maintaining contact lists and the NCTL website as well as copying and filing documents. 


ACCOUNTABILITY STATEMENTS:

1. Provide administrative support to the Associate Director of the NCTL, Formal Education, as well as the Senior Vice President/Publisher of the NCTL, to help assure the smooth running of its operations.  Depending upon the project, this may include: a) Coordination of meeting logistics, including scheduling rooms, ordering food, sending MeetingMaker proposals, arranging for IT and AV resources and communicating to attendees; b) Providing assistance at meetings and workshops;  c) Maintaining mailing, listserve and contact lists; d) Coordinating printing and mailing documents and packages; e) Keeping various spreadsheets and PowerPoint presentations up to date; f) Processing invoices and purchase orders; g) Securing travel arrangements.

2. Serve as Museum of Science (MOS) point of contact and coordinator for NCTL with external entities and other MOS departments to help assure effective collaborations.  The liaison role may include: a) Receiving and responding to telephone calls and email messages, and referring inquiries to the appropriate MOS staff members; b) Receiving applications and materials from participants, answering questions, and providing general information. 

3. Maintain NCTL website including answering electronic inquiries, scheduling speaking arrangements, updating general information to assure that public audiences are informed of current NCTL's purpose and activities.

4. Schedule and maintain calendar for the Associate Director of NCTL, Formal Education, to insure the Director's accessibility and ability to participate appropriately in day to day events.

5. Perform other work-related duties as required by Associate Director of the NCTL and Senior Vice President/Publisher of the NCTL.

QUALIFICATIONS SUMMARY:

  • Post High School course work, technical degree, associates degree, or business certificate preferred.
  • 1 to 3 years of experience.
  • Ability to collaborate effectively with others, both internally and externally.
  • Strong writing skills.
  • Ability to coordinate many tasks at the same time.
  • Strong customer service skills, especially when using the telephone.
  • Computer Skills including Word, Excel, Power Point, and Access.
  • Organized and proactive planner.
  • Demonstrated ability to multitask and problem solve.
  • Ability to keep information confidential.


STARTING SALARY:

Non-Exempt (Hourly). Commensurate with experience.
